8          SHARED DOCUMENTS

 

8.1       Plan Images

 

Plan images can be uploaded into the Shared Documents and viewed by all project team members.

 

8.1.1     Upload a Plan Image

 

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Plan Image” from the dropdown menu.
  • In the Plan Image List, click on “Upload an Image” near the upper right-hand corner.
  • Upload a spec image by selecting the “+ Add files…” button and select an image from your computer.  Maximum file size is 20 MB. File types can include jpg, gif, png, pdf, tif, and tiff.
  • Select the “Start Upload” button.
  • Select the Plan Sheet Division from the dropdown menu.
  • Input the Plan Sheet Number in the text box.
  • Select the Plan Sheet Date from the date selection widget.  The default date will be the date of the upload.
  • Provide a plan sheet name in the text input box.
  • Click on the “Submit” button.

Multiple plan images can be uploaded by repeating the steps above.

Multiple page PDF files can be uploaded.  The user will be prompted to specify which pages of a multiple page document to upload (Ex. 1, 3-5, 9). Plan sheet names for the multiple pages will be the input plan sheet name followed by a page number.  The plan sheet names can be changed by using the Edit function from the Plan Images list.

All file types uploaded into the Plan Image section are automatically translated into an image file and stored separately in the Plan Image list.  The file types of the Plan Images are shown on the Plan Image list.

 

8.1.2     View a Plan Image

 

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Plan Image” from the dropdown menu.
  • In the Plan Image List, select a specific Plan Image by clicking on the Plan Sheet Name.

PDF files will be opened in the default PDF viewer on the user’s computer or mobile device.  The user will have all the functions of their PDF viewer such as rotating, zooming, panning, and printing.

Image files such as jpg, gif, or png will be opened in a viewer provided in iReport360.

 

8.2       Spec Images

 

Specification images can be uploaded into the Shared Documents and viewed by all project team members.

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Spec Image” from the dropdown menu.
  • In the Spec Image List, click on “Upload an Image” near the upper right-hand corner.
  • Upload a spec image by selecting the “+ Add files…” button and select an image from your computer.  Maximum file size is 20 MB. File types can include jpg, gif, png, pdf, tif, and tiff.
  • Select the “Start Upload” button.
  • Select the Spec Division from the dropdown menu.
  • Input the Spec Number.
  • Provide Spec Name in the text input box.
  • Click on the “Submit” button.

8.3       Photo Gallery

 

Photo images can be uploaded into the Shared Documents and viewed by all project team members.  Note:  All photos uploaded and incorporated into field reports will be included in the Photo Gallery.

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Photo Gallery” from the dropdown menu.
  • Click on “Upload an Image” near the upper right-hand corner.
  • Upload a spec image by selecting the “+ Add files…” button and select an image from your computer.  Maximum file size is 20 MB. File types can include jpg, gif, png, pdf, tif, and tiff.
  • Select the “Start Upload” button.
  • Provide a brief description of the photo in the text input box.
  • Select the date of the photograph from the calendar widget.  The default date will be the date of the upload.
  • Multiple photo images can be uploaded by repeating the steps above.
  • Click on the “Submit” button.

 

8.4       Shared Files

 

Shared files can be uploaded into the Shared Documents and viewed by all project team members.

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Shared Files” from the dropdown menu.
  • In the Shared Files List, click on “Upload an Image” near the upper right-hand corner.
  • Upload a Shared File by selecting the “Choose File” or ”Browse” button and select an image from your computer.  Maximum file size is 20 MB. Most file types can be included in Shared Files.
  • Provide brief file description in the text input box.
  • Click on the “Submit” button.

Multiple files can be uploaded by repeating the steps above.

The file types of the Shared Files are shown on the Shared Files list.

 

8.5       Submittals and Shop Drawings

 

Submittal and Shop Drawing Files can be uploaded into the Shared Documents and viewed by all project team members.

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Submittals and Shop Drawings” from the dropdown menu.
  • Click on “Upload an Image” near the upper right-hand corner.
  • Upload a File by selecting the “Choose File” or ”Browse” button and select an image from your computer.  Maximum file size is 20 MB. Most file types can be included.
  • Provide an identification number in the text input box.
  • Provide a brief title in the text input box.
  • Select an action from the dropdown menu.
  • Click on the “Submit” button.

 

8.6       Internal Files

 

Internal files can be uploaded into the Shared Documents and viewed by only the company that uploaded the file.  These files or documents are not available to the entire project team.

  • Select an Active Project.
  • Select the “Shared Documents” tab on the Project Tool Bar.
  • Select “Internal Files” from the dropdown menu.
  • In the Internal Files List, click on “Upload an Image” near the upper right-hand corner.
  • Upload a Shared File by selecting the “Choose File” or ”Browse” button and select an image from your computer.  Maximum file size is 20 MB. Most file types can be included in Shared Files.
  • Provide brief file description in the text input box.
  • Click on the “Submit” button.

Multiple files can be uploaded by repeating the steps above.

The file types of the Internal Files are shown on the Internal Files list.
